Privacy Policy
HeedForge ("HeedForge," "we," "us") provides a personal knowledge base that captures content you choose to add — such as notes, emails, messages, calendar entries, and uploaded documents — and makes it searchable by you and by AI assistants you connect. This policy explains what we collect, why, how we use it, and the choices you have.
1. Information we collect
- Account data: your name, email address, and authentication credentials.
- Content you capture: the documents, notes, messages, files, and other material you add to your brain, including anything imported through connected integrations or the Model Context Protocol (MCP).
- Billing data: if you subscribe, payment details are processed by our payment provider (Stripe). We do not store full card numbers.
- Usage and device data: log data, IP address, browser type, and interactions needed to operate and secure the service.
2. How we use information
- To provide, maintain, and improve the service.
- To index and retrieve your content so you and your connected AI tools can search it.
- To process payments and manage subscriptions.
- To secure the service, prevent abuse, and comply with legal obligations.
3. AI processing of your content
When you use search, capture, or AI features, the relevant content may be sent to third-party AI providers (for example, OpenAI) to generate embeddings, extract text, or answer queries. These providers process the data to return a result to you. We do not sell your content, and we do not use your private content to train third-party foundation models.
4. Local Mac capture (Photos, text messages, Apple Notes)
HeedForge offers an optional Mac app that you install yourself. During setup you choose exactly which sources to capture — text messages, Apple Notes, Photos, or any combination — and nothing is captured unless you opt in. Capture runs locally on your Mac and sends data to your brain over an encrypted connection:
- Photos: for each new photo, a downscaled copy plus its capture time and GPS location are sent so we can reverse-geocode the place and generate a short AI description. Photos you mark Hidden in the Photos app are always skipped, and you can exclude named albums during setup.
- Text messages & Apple Notes: message text and note contents are read locally on your Mac and saved into your brain. Password-protected notes are skipped.
You can stop any of these at any time by running the uninstaller or removing the relevant capture, and you can delete already-captured items from your brain like any other document.
5. Sharing and subprocessors
We share data only with service providers that help us run HeedForge, under contract and only as needed. These may include:
- Hosting and database infrastructure (e.g., Vercel, Neon).
- AI processing (e.g., OpenAI).
- Payments (e.g., Stripe).
- Email and messaging delivery providers.
We do not sell your personal information.
6. Data retention
We retain your content for as long as your account is active. You can delete documents at any time, and you can request deletion of your account and associated data as described below.
7. Your rights
Depending on where you live (including under the GDPR and CCPA/CPRA), you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at privacy@heedforge.com.
8. Security
We use technical and organizational measures — including encryption in transit, access controls, and encrypted storage of sensitive secrets — to protect your data. No method of transmission or storage is perfectly secure.
9. International transfers
We may process and store data in countries other than your own. Where required, we rely on appropriate safeguards for such transfers.
10. Children
HeedForge is not directed to children under 16, and we do not knowingly collect their personal data.
11. Changes to this policy
We may update this policy from time to time. We will revise the "Last updated" date above and, for material changes, provide additional notice.
